Kolay DM ("we", "our", or "the Platform") is a messaging automation and customer relationship management platform operated by Artistic Digital. This Privacy Policy explains how we collect, use, store, and protect your personal data when you use our services.
Kolay DM integrates with Meta platforms (Instagram and WhatsApp) to provide automated messaging, comment management, and CRM functionalities for businesses.
2. Data We Collect
We collect the following categories of data to provide our services:
Account Information: Your name, email address, and login credentials when you register for Kolay DM.
Instagram Business Account Data: Username, profile picture, account ID, follower count, and other publicly available business profile metadata retrieved via the Instagram API.
Instagram Messages: Direct message content sent to and from your connected Instagram Business account, solely for the purpose of providing automated response services.
Instagram Comments: Comments posted on your Instagram Business account's posts, used for comment automation features.
WhatsApp Business Data: Phone number, business profile information, and message content sent to and from your connected WhatsApp Business account.
CRM Data: Contact information, tags, notes, lead scores, and conversation history aggregated from connected channels.
OAuth Tokens: Access tokens required to interact with Meta APIs on your behalf.
Usage Data: Basic analytics such as login times, feature usage, and platform performance metrics.
3. How We Use Your Data
We use the collected data exclusively for the following purposes:
- Providing automated responses to Instagram Direct Messages on your behalf.
- Managing and automating responses to Instagram comments on your posts.
- Sending and receiving WhatsApp Business messages on your behalf.
- Displaying your connected account information (username, profile picture, account ID) on your dashboard.
- Building and maintaining your CRM contact database from incoming conversations.
- Improving service quality and troubleshooting technical issues.
4. Data Sharing
We do not sell, rent, or trade your personal data to any third parties. Your data is processed only through the following:
Meta (Instagram & WhatsApp) APIs: To send and receive messages and access account data on your behalf.
AI Processing: Message content may be processed by AI language models to generate automated responses. No personal data is stored by these AI providers beyond the processing session.
Infrastructure Providers: We use trusted cloud hosting and database services to store your data securely.
5. Data Storage and Security
Your data is stored on secure cloud servers with industry-standard encryption. We implement the following security measures:
- Encryption of data in transit (TLS/SSL) and at rest.
- Secure storage of OAuth tokens with encryption.
- Regular security audits and access controls.
- Limited access to personal data on a need-to-know basis.
6. Data Retention
We retain your data for as long as your account is active. Upon account deletion or disconnection of a social media account, we delete all associated data within 30 days. You may request immediate deletion at any time (see Section 9).

Meta Platform Terms: We adhere to all Meta Platform Policies, including the Instagram Platform Policy and WhatsApp Business Policy.
KVKK: Turkish Personal Data Protection Law (Law No. 6698).
GDPR: General Data Protection Regulation for users within the European Economic Area.
9. Data Deletion
You can request deletion of your data at any time by:
- Using the "Delete My Data" option in your Kolay DM dashboard settings.
- Sending an email to privacy@kolaydm.com.

10. Cookies
We use essential cookies to maintain your login session and platform preferences. We do not use tracking or advertising cookies.
11. Children's Privacy
Kolay DM is designed for business use and is not intended for individuals under the age of 18. We do not knowingly collect data from minors.
